These procedures are intended for clients who use the Time Management solution. The various functions available under the Time menu allow for the generation of timesheets. They become operational once the general configuration is done (Time management parameters, field options displayed in the timesheet, definition of hour types and work schedules, etc.).

Things to remember A user must have Complete access to Display salary (User management > User profile > Access to functions > Confidential data section) to view or modify salary information (hourly rate, annual salary or any other information which identifies an employee’s salary). If the user has a Display salary access checked at None, fields which usually contain salary values contain no values. |
The Copy and Delete buttons are available in most of the functions. Copy : ▪To copy all of the function’s configuration data, namely a time rule set or an hour type, click on Copy available once you return in the saved setting. ▪The data of the new parameter that are displayed are identical, except for the description which includes a prefix identifying the copy. ▪Modify the descriptions at your convenience. Delete : ▪To delete a configuration, click on Delete. All the data of the setting will be deleted. ▪The specifics of the delete action are displayed in a box in each of the concerned functions. |
▪The future modifications for a position or hourly rate change are applied to the timesheets. ▪Timesheet treatment steps: An administrative structure or position future modification with an effective date included in the current pay period and different from the period start date will generate two transactions (not applicable if the position comes from a punch). oA first transaction for the data before the modification and a second for the data after modification (applicable at hours input from the Time sheet validation function, the Self-service and the mobile application). oA message will confirm the modification that was made, its effective date, and actions to carry out when appropriate. ▪Payroll entry generation: this step completes the separation of the transactions. oHourly rate: an hourly rate future modification with an effective date included in the current pay period and different from the period start date will generate two payroll entry. oOrganizational structure: the separation occurs if it is not displayed on the input screens and if you distribute the costs according to the structure. oParity committee class: the separation occurs if you have a parity committee report. ▪Modification of the work numbers on Payroll settings (Employee file > Employee > Profile): the timesheets transactions are modified if the company has the Update payroll entry if the employee file is modified option. The modification impacts the entire transaction since no work number change date exists. |
To the users of the Absence request management option: ▪The approved absence requests are integrated to the timesheets. ▪Generation of timesheets: Approved absence hours are displayed in the generated timesheets and are deducted from the regular hour type for the corresponding days. The employee may modify their absence hours that were approved in advance in their absence request before saving their timesheet. ▪Hours and amounts (entered) or (adjusted): these functions display approved hours in the absence request and are deducted from the regular hour type for the corresponding days. The approver may modify the absence hours from the approved absence request. However, the absence request will not be updated. ▪Only an hourly bank earning or an hourly earning that is linked to a bank can be available for absence requests. ▪Yes is displayed on the Absence requests column (Hours type function) when the hour type is available for the entry of absence requests. ▪For more information on absence requests management, see Requests and delegation management. |
The summary of an employee’s key information is presented under their full name at the top of each screen of the employee file. This information varies according to your user profile and the function currently in use. It includes, among other things, the following elements: ▪Wages information (hourly rate or annual salary): oInformation is displayed only if the user profile has the necessary authorization, that is the Display wages permission available under Confidential data on the Access to functions screen (User management > User profile). ▪Their schedule: The Schedule hyperlink provides access to an employee's schedule and is displayed if the company has the Time Management solution - but without the Punch cards function - and if the employee has one of the following schedule types: oAn active schedule in Time and attendance parameters; oAn active schedule associated with their team in Employment and compensation; oAn hourly or a weekly schedule in Employment and compensation. ▪A reduced-size employee photo: oTo display the photo, you must activate Employee photo management (Configuration > Business > Configuration > Business options). oA user with full access to the Photo management function, available under User profile in the Pay and HR section of the Access to functions screen (User management > User profile), can add, modify or delete an employee's photo in Personal information. ▪The icon: oThis icon is displayed to the far right of the summary and is active if the employee has a user code and a validated email address. For more information on how to validate an email address, see Adding/Validating/Modifying your email address. ▪The Salary information: oA user must have Complete access to Display salary (User management > User profile > Access to functions > Confidential data section) to view salary information (hourly rate or annual salary). |
