Requests management is intended for clients who use the Self-service solution. The Requests management function must be activated at the business level. (Configuration > Business > Configuration > Business options), see Activating or deactivating requests management.
Requests management allows the approver to validate submitted requests by either approving or rejecting them. It is also possible to cancel an approval.
There are two types of requests:
▪General requests: Requests related to insurance, computer equipment, etc.
▪Absence requests: Requests related to leave, vacation, etc.
On the Requests management screen (Communication > Requests), the approver’s name changes according to the status of the request. If the status is “Pending approval”, the name of the current approver will appear. For “Approved”, “Rejected”, or “Approval cancelled” statuses, it is always the name of the approver who performed the action in question that appears.
Before configuring requests management settings, you must grant access to the following functions (User management > User profile > Access to functions): ▪To users who can manage approvals: Manage approvals function (Process administration section under Requests); ▪To users who can manage the business’s delegations: Manage delegations function (Process administration section under Requests); ▪To approvers: Requests function (Pay and HR section, under Requests); ▪To administrators who will determine earnings eligible for absence requests made by employees who do not have time sheets: Absence types function (Process administration section under Requests); ▪To employees who will create requests in Self-service: Requests function (My work section). Users must have an employment profile to be able to create requests, but users without an employment profile can be approvers. However, in order to be able to modify the requests management parameters, you must have access to the Activation and configuration of requests management function of the Company settings section under User management (User management > User profile > Access to functions). |
The settings to be configured in order to activate employee requests management are the following: ▪Activating or deactivating requests management, Activating requests management ▪Defining requests management settings Once these settings are activated, the employees are able to create and submit their requests (general or absence) to the approvers who will process them. The default general requests are “Computer equipment”, “Office move”, “Parking” and “Insurance change”. If your business wants to manage other type of general requests, you can add, modify or delete an object (a reason) from the general request in the Value table (Configuration > Business > Configuration > Value table). You can define exceptions for the approval of certain employees’ requests. For example, requests from senior managers can be directed to a specific user and the president can approve their own requests. These exceptions are set by employment profile. So, an employee with a profile in two companies or even two profiles in the same company can be assigned a different exception approver for each profile. |
Manage delegations ensures continuous request processing if an approver is unable to process their approvals. In exceptional situations, the request administrator or application manager can perform approval delegations. |
