Entering hours and blocking data entry

Access: Time > Time sheet details per employee

This function, specific to the businesses in which employees enter their timesheets, enables the entry of hours in the employees’ timesheets before applying the time rule sets.

Important

Before beginning the data entry of hours, make sure that the week displayed in the Week from yyyy/mm/dd through yyyy/mm/dd is compliant with your needs.

1Under Entered hours heading, click on Add.

2Select an hour type and enter the number of hours (in minutes or in hundredths, according to the configuration of your company’s administrator) in the boxes corresponding to the days of the week.

The display of fields related to the position, cost distribution (administrative structure or work numbers) and CCQ are based on the company’s configuration and timesheet fields (see Configuring the timesheet fields).

Tips and tricks

Click on Schedule located in the summary of employee information at the top of the screen to view the schedule associated to an employee or their team schedule or the number of hours per day and number of days per week in the employment profile.

Click on banque to see the information pertaining to your employee’s bank. Please note that bank data are only displayed in amounts if the user profile detains the necessary authorizations.

3Under Amounts, select an amount type and enter the amount in the days of the week.

4Under Notes, enter the information of your choice.  

5Click on Save to register the changes.

6If your company is configured for an optional or mandatory timesheet submission (see Configuring the Time management parameters) click hmtoggle_plus1 here. Otherwise, go to the next step.

7If you have completed the entry of hours, block the timesheet entry by clicking on the Lock time entry by employees (generate adjusted hours) hyperlink available under the Time sheet processing of the Time sheet validation.

This step will allow the system to apply the time rule sets and generate the adjusted hours.

Important

Verify the filters that have been applied on the Time sheet validation before blocking the data entry of hours, as only the timesheets of employees displayed in the summary will be blocked.

 

Things to remember

If the mandatory submission is activated, the Lock time entry by employees process will be triggered for the active employees who submitted their timesheet.

If the employee has no schedule, if there is not time rule set and if the schedule’s effective date is in the future, the hours entered will be transformed in adjusted hours and will remain the same.

 

Tips and tricks

You may cancel the action by clicking on the Unlock time entry by employees (delete adjusted hours) hyperlink available under the Time sheet processing.
