Defining the timesheet rule sets

Access: Configuration > Time > Management rules > Time sheet rule settings

The function displays the list of the business timesheet rule sets. It allows the definition of the adjustment rules to be applied to the hours entered on the timesheet.

The timesheet rules are grouped under a rule set defined by the business. These sets may contain a list of rules of different or similar types, applicable to a group of employees with a schedule. For example, a business may define a rule set for the factory and a different one for the office.

Important

It is important to note that a modification to a rule set automatically affects all the schedules that refer to it.

1Under Time sheet rule set list, click on the Create a rule set.

2Enter a French description and an English description to identify the rule set.

3Click on Save.

4Under Time rule list, click on Create a rule. For using the Copy button, see Copy and Delete buttons.

5Under Description, select a Rule type.  

Things to remember

The types of rules and their function:

Statutory holiday: applied if hours are entered on the day of the week corresponding to a statutory holiday (according to the statutory holiday calendar used).

Week-end - Saturday: applied if hours have been entered for this day. It is always complementary to the preceding rule.

Week-end - Sunday: applied if hours have been entered for this day. It is always complementary to the preceding rule.

Daily rule: applied every day, including Saturday and Sunday. It is always complementary to the preceding rule.

Weekly rule: applied to hours cumulated during the week. It is always complementary to the preceding rule.

6Enter a French description and an English description.

7Under Eligible hours, click on the Available hour type you wish to make eligible and then click on Right to move it to Eligible hour type. The hours associated to the eligible hour types will be added to apply the substitution and generation rules.

Things to remember

Available hours: all the active hour types defined for the business and that may be selected to become eligible to the time rule set.

Eligible hours: the hour types selected as being eligible to the time rule set.

8Establish the hour type priority by clicking on the desired hour type, then, by clicking on Up or Down to place them higher or lower in the list, according to your needs.

9Under Eligible hours adjustment (substitution), enter the Hour boundary (>).

The number of hours entered in Hour boundary (>) indicates the minimum required number of eligible hours to transform these hours, according to the adjusted hour type specified in the next step.

10Select the Adjusted hour type.

11Under Eligible hours adjustment (generation), enter the Hour boundary (>).

The number of hours entered in Hour boundary (>) identifies the minimum required number of eligible hours to transform these hours, according to the hour type specified in the next step.

12Select the Adjusted hour type.

13Select the Sequence:

Generate before substitutions: To take into account the total of eligible hours;

Generate after substitutions: To take into account the balance of the eligible hours after applying all the substitution adjustments.

14Click on Save to complete the procedure.

Things to remember

Once the time rule is saved, the rule type cannot be modified. You must delete the rule and recreate it.

When copying a timesheet rule set, the Other similar rules are displayed when there is more than one timesheet rule of the same type, allowing you to modify the priority by repositioning the hour types. Our system assigns one sequence by default, corresponding to the creation order for each timesheet rule of the same type
