Defining punch clock rules

This procedure enables to define Punch clock rules: for rounding off hours, the amount and length of meals and breaks allowed as well as the exceptions to be managed. When punch cards have been imported, exceptions can be viewed on the Adjusted punch data screen.

Access: Configuration > Time > Management rules > Punch clock rules

1Under Punch clock rules, click on Create a rule.

2In the Punch clock rule definition screen, enter a French description or an English description to identify the rule.

3Under Generate punch clock input hours, select the Worked hours type.

4As required, select the type of Lunch and check the Punched lunch box.

Things to remember

If the meals are not punched, the time allocated for the latter is not deducted immediately from the time entered in the Time clock section. The meal time is deducted from the hours worked only during punch entry confirmation and is only visible in the Breakdown of entered hours table of the Time sheet validation screen.

5Under Shift overtime – not paid, determine the time interval for an early arrival and a late departure by entering the number of minutes in the fields provided, under Time Frame (min.).

Things to remember

This time interval refers to when the punch for an early arrival is automatically changed to the start of the work shift and the punch for an early departure is automatically changed to the end of the work shift. These automatic adjustments have precedence over rounding off.

6Under Grace period, determine the approved time interval for a late arrival and an early departure by entering the number of minutes in the fields provided, under Time Frame (min.).

Things to remember

The grace period is a time interval in which an adjustment in the employee’s favour is made. A work shift must be defined beforehand in the employee’s schedule in order to know the planned arrival and departure times. The grace period has precedence over rounding off.

7Under Rounding, determine the intervals for the various events by selecting the number of minutes using the drop-down list in Interval.

8As required, enter the number of minutes for the pivot of each event for which an interval has been selected.

Things to remember

Rounding off consists in adjusting the time according to a specific interval (the interval corresponds to a subdivision of the clock, for example for a 15-minute interval; the clock is divided into 15- minute slots).

The pivot represents a marker indicating the value, which the rounding off will be made (higher or lower).

Example: A 15-minute interval with a pivot of 5 minutes and a grace period of 10 minutes. This means that late arrivals between 8:00 and 8:10 will be brought back to 8:00. Arrivals before 8:00 and after 8:10 will be rounded off according to the interval and pivot. Therefore, an arrival at 8:21 will be rounded off to 8:30.

9As required, determine an allocation for meals and breaks. Click on Add under Time allocated for meals and breaks.

10Complete the various fields related to the duration of meals and breaks.

11Under Select entry exceptions, as required, determine the exceptions by checking the Controlled box associated with the chosen exception type and, if applicable, enter the number of minutes in the Minutes fields assigned to certain exceptions.

12Click on Save to complete the procedure.
