Generating the training expense report

The Training expense report function allows you to generate a report that is close to the requirements of Bill 90 regarding training.

Access: Human resources > Training management > Training expense report

1Under Training session, enter the dates of the training session periods in Period from and To.

The total number of employees per category will be calculated considering the employee's employment category at the report's date of production, regardless of the dates specified in the report parameters.

Only the sessions with the “Completed” status and the employees with ”Completed” or ”Partial” status will be included in the report.

2Under Companies, check Selection to select one or more companies or All to include all your companies in the report.

3Under Administrative structure, click on the liste_blanc icons to select a specific item of the organizational structure or job numbers.

Check the Include terminated employees from previous years box if needed.

Things to remembers

The company and structure are taken into account based on the filters selected for report production:

If filtered by company, the total expenses for the company will be presented;

If filtered by specific structure, all expenses assigned to this structure will be presented with the expenses that are not assigned to any structure in the company.

4Under Criteria, check the boxes according to your needs

If the Eligible expenses only option is checked, only the training activities for which you checked the Fiscal eligibility option and the expenses for which you selected “Yes” in Eligibility will be included in the report.

If you checked the Quebec employees only option, only the employees with Quebec as the employment province will be included in the report.

5Click on Execute to complete the procedure. To view the report examples, click on one of them: Example 1 - Report criteria, Example 2 - Attendance record and salary summary, Example 3 - Cost per session summary, Example 4 - Cost summary and Example 5 - Training hours.

 

Things to remembers

For an employee that has taken only one training session:

If the Job category (training) is indicated on the Employment and compensation (Employee file > Employee > Profile) screen, the report displays this category. If it isn’t indicated on this screen, the Job category (training) defined in the position (Configuration > Positions) is displayed.  

If the Job category (training) is neither indicated on the Employment and compensation screen, nor in the position, the Employees category column in the Training hours section of the “Training expenses” report displays the Undefined category heading.

For an employee that has attended more than one training sessions:

The employee is accounted for only once in the report.

If the Job category (training) on the Employment and compensation screen is the same for all sessions, this category appears on the report.

If the Job category (training) is not defined in the Employment and compensation screen or in the position, the Employees category column in the Training hours section of the ''Training expenses''  report will display Undefined category.

If the Job category (training) on the Employment and compensation screen is not the same for all sessions, the Job category (training) defined in the position appears on the report. If the position does not have one, the Employees category column from the Training hours section of the “Training expenses” report displays the Undefined category heading.
