Verify and update contact persons annually

Access: Use management > Security > Verify contact persons > Update link > Contact  

This screen is accessible to the application manager only.

It is used as part of the mandatory annual verification of contact persons (individuals authorized to communicate with our Payroll Services Centre).    

It allows you to update existing contact persons, add new ones, and delete others.    

 

Steps to follow    

1First, review User information: type, status, last authentication, and the presence of flagged messages indicated by the icon Warning.

Click on a user’s hyperlink to access and edit their User profile.

If a user has not authenticated in a long time, it may be advisable to remove their Contact person role.  

2Next, review Call priority. To change call priority order, use your mouse to drag and drop rows in the table.

The first user on the list must be a payroll administrator.

3In the Stakeholder type column, ensure the stakeholder types selected for each user are appropriate. Check or uncheck boxes as needed.

At least one stakeholder type must be selected for each user.

Only one contact person may have the Delivery recipient stakeholder type.

For clients using the telephone payroll solution, at least one contact person must have the ROE – For more information stakeholder type.

To facilitate communication with our Customer Service team, we recommend selecting the following stakeholder types among your company’s contact persons: Owner, Contract signature and Accounting/Finance.  

To better understand stakeholder types, please refer to the table below.    

4In the Authorized communication column, validate whether users are authorized to communicate with our Payroll Services Centre. If necessary, grant or remove authorization using the toggle button.

5In the Access structure column, ensure that the access granted to each user is truly required. Click the hyperlink to access the Access to companies screen to review or modify user access.

Complete: The user has access to the entire administrative structure (departments, services, etc.). However, they may not have access to all companies.  

Partial: The user has limited access to certain elements of the administrative structure.    

No link is displayed for Contact only, as this type of contact person does not grant access to any company.              

6Ensure that the phone number(s) and email address used to contact the user are up to date.

This information comes from the User profile (User management > User profile).    

7Click on one of the following buttons based on your needs:

Save: Save your changes only. You can return later to complete the update.  

Validate: Indicate that the contact person verification is complete.

Add a contact: Displayed only when there is more than one company. It allows you to select a user from a pop-up window. The list includes users who meet all of the following criteria:

Have the value Yes in the Contact field of their profile;

Have access rights to the selected company;

Have no designated call priority for the selected company;

Have an active or inactive status.

8Once this screen has been verified, click Return to go back to the previous screen, Verify contact persons. Then click Confirm to complete the annual verification process.

 

Description of the different types of stakeholders

 

Stakeholder type

Definitions

Payroll manager

This person can provide and obtain information on payroll and company data depending on their access to functions. They also receive general communications from the application.

Owner

This type of stakeholder is reserved for the owner or members of the company's board of directors, validated in an official register.

Contract signatory

This type of stakeholder is reserved for the person who has signed the Service Agreement.

Accounting/finance

This type of stakeholder is assigned to those responsible for the company's finances.

Delivery recipient

This person receives the printed payroll documents and tax slips. They are informed of delivery information.
