Creating or modifying protections

Access: Configuration > Business > Group insurance

This procedure enables the creation or modification of protections in an employee’s group insurance.

When creating the profile, you must enter the employee’s protection codes. This information can be modified when changing an employee’s personal information. If you modify an employee status, you have to modify their status in their insurance profile.

1If you have not yet selected an employee, the application will direct you to the Employee list (Employee file) screen to do so.

2Under Protection for effective date : yyyy/mm/dd, select a Type for the protections with a different rate per type.

Important

The “Exempt” and “Not owned” types are not the same. For example, the “Exempt” type means that an employee can be exempt from medical protection if they are covered by their spouse’s group insurance. The “Not owned” type means the employee is not covered by that protection.

3Select a Factor to indicate the number of times the employee wishes to benefit from the protection coverage.

4Enter the date for when the modifications are applied in the Change date field. If not, the date will be generated automatically:

For businesses that use the Create a report function of Report generator, note that the monthly premiums report is based on event history. The history is generated, among other things, according to this date and you must ensure its accuracy. For more information, see Producing a monthly premiums report.

If the employee’s hiring date is lesser than or equal to the change date, the Change date field displays the start date of the current pay period by default.

If no start date of the current pay period exists, the current day’s date applies.

5Enter the employee’s eligibility date for the protection code in the Eligibility date field.

When creating an employee, the eligibility date displayed corresponds to the hiring date. Modify the date as needed. For example, if the new employee is eligible for insurance in three months, you can immediately enter their insurance choices along with the eligibility date. Payment for these protections will begin only on the pay period that includes the eligibility date.

Do not enter a date when the protection is “Not owned”.

6Select the Plan.

7If you need to use an estimated salary that is different from the overall salary estimate for a protection (see step 8 of the procedure Creating or modifying the group insurance file (employee), enter an annual salary in the Estimated salary field.  

8Click on Save.

Important

If you make changes to an employee’s group insurance profile, before having entered payroll data, the premiums will be adjusted in the current payroll (according to the eligibility date).

 

Tips and tricks

Before submitting your payroll data, it is possible to verify the result of a modification to an employee’s premium calculation using the Simulate payroll function (Payroll > Tools).
