Access: Employee file > Consolidate Personal information profiles - SIN selection
Things to remember
✓This function is only accessible to users with the required access rights
✓It is possible to consolidate personal information profiles when a Social Insurance Number (SIN) is attributed to more than one profile, whether or not it is linked to the same employee.
✓It is possible to access the Consolidate personal information profiles – SIN selection function when modifying the SIN in the profile or using the also access the consolidation of profiles hyperlink located in the message of the Confirmation of profile screen.
1Under SIN associated to several profiles, click on the desired SIN.
▪Nbr of profiles indicates the number of profiles with the same SIN.
▪The ellipsis (…) displayed under Last name, First name or Birthday indicate that the information entered is different from what is indicated in the profiles.
2Click on Continue.
3Click on the Details hyperlink to view more information on the different profiles displayed.
4First, click on the profile to be kept.
⇨ Give priority to the most complete profile, particularly regarding the personal information, the addresses, the telephone numbers
(and the customized fields, for businesses using them) since this information cannot be duplicated in a given profile.
5Then click on the Consolidate box or boxes (displayed once the chosen profile is selected) located to the right of the name of each profile you wish to consolidate.
⇨ Make sure that all the profiles selected for consolidation belong to the same individual. If you mistakenly attributed a SIN to another individual, it will be listed.
6Click on Next to trigger the consolidation process. You will then be redirected to the results.
7Under Profile saved, validate the profile information.
Things to remember Depending on the solutions and functions used in your business, other information may be displayed. If you do not wish to add this information to the profile, uncheck the boxes in question. ▪See Customized fields hyperlink: allows you to view the customized fields and is displayed to the right of the employee’s name if your business uses the Customized fields function (Configuration > Configuration > Customized fields). ▪Attached documents: is displayed only if documents were added in the Attached documents section, available in the Employment and compensation function (Employee file > Employee > Profile) or in certain other functions if your business uses the Human Resources solution. ▪Dependant beneficiaries, Education, Work experience, Skills and Absences: are displayed only if your business uses the Human Resources solution. |
8Under Employment profile, validate the employment profiles that will thereafter be linked to the selected profile.
▪An employment profile with the “Addition” mention means that it was linked to a profile selected for consolidation (Consolidate box checked).
▪If there is no mention, this means it was already linked to the profile saved.
9If your business uses Self-service and there is at least one user code for one of the profiles to be consolidated, click here. Otherwise, continue to the next step.

10If you use customized fields, the relevant information will be displayed under the respective headings. If needed, once the consolidation is completed, you will be able to modify the information in the employee's Profile.
10Click on Save.
11From the Confirmation window, click on Confirm to complete the consolidation.
▪Certain data from the profiles that were not retained (address, telephone) will be deleted permanently.
