This chapter presents important information to keep in mind concerning Service Canada’s secure automated transfer of records of employment (ROE-SAT).
It contains the list of earning codes that may be programed in your company file, as well as the list of new reason codes established by Service Canada.
Delay to produce records of employment
The records of employment (ROE) must be issued within five calendar days after the end of the pay period in which an employee’s interruption of earnings occurs (when the payroll frequency is weekly, biweekly or semi-monthly). |
The ROEs that you request during the day are sent to Service Canada in the evening. |
Employers have to verify the ROEs produced as per their request. This step was simplified since you can view directly in our application a PDF version of the issued ROEs. They are available along with your other payroll documents (reports, pay stubs, etc.) |
You don’t have to give a copy to the employees. They can view and print an official copy of their ROE the day after the production was requested, directly from Service Canada’s website in the tool: My Service Canada Account. However, you can give them a “non-official” copy of the ROE, if you wish to do so. |
An ROE requested during the day cannot be modified as it is on hold to be sent to Service Canada. If it needs to be corrected, you have to wait for the day after the ROE is issued. ⇨ If you use our telephone payroll solution, you have to contact us and give us the corrections to be made. A modified ROE will be produced and sent to Service Canada. ⇨ If you use internet payroll solution, you can correct the information directly in the application and submit the production request to us. A modified ROE will be produced and sent to Service Canada. |
With the ROE-SAT, if the earnings listed in the chart below are paid on the employee’s last pay, they will automatically show on the record of employment.
Do not hesitate to inform us if your company file contains other codes related to blocks 17A, 17C and 19, as we could also program them in the automated earning codes.
Important note for clients using the Internet payroll solution.
When producing an ROE, if an earning code is not included in your company file to be managed automatically and that it has to be entered manually in one of the above blocks, the automatic mechanism is deactivated for this block. You will have to enter the amounts paid on the employee’s last pay in the corresponding block or bocks.
