Before starting, know that:
This function is common to both report types (standard or system). However, only step 1 – Defining production frequency is identical. Step 2 – Defining parameters being different, it will be described in two sections; one for each of the report types.
A deactivated user: |
✓ If a user is deleted or deactivated, the automated productions he had created will no longer be executed. ✓ Exception: If a user has locked his access code (erroneous password after 3 attempts), his reports will be generated nonetheless. |
A deactivated company: |
✓ If a company is deactivated, all the automated productions will be discontinued. |
Data security: |
✓ If a user no longer has access to certain data included in the automated report, the latter will still be in the list of reports produced but identified as erroneous. ✓ The reason will show on the screen and specified in the confirmation email programed by the user, if the case may be. An email confirmation will only mention that the report was not generated, not the reason why. ✓ The reason will be indicated only in the produced report section. |
In this first step, you will define the following parameters: report frequency, production period and confirmation email. 1All the reports produced automatically will show on the first screen under the heading Automated report production list. 2To create a new automated report, click on the Add an automated report production hyperlink: ⇨User – Access to functions: The list contains only the automated reports created by the user; ⇨Application Manager: Under the Creator column, a list shows all the automated reports created in the company as well as the name of the person who created them. As such, the Application Manager can delete the automated productions already programed by users either absent or who have left the company. 3From the Automated report production (1 of 2) – Frequency screen, enter the information in the various fields or select it from the dropdown list. 4Under the heading Identification of the automated report production, select the report to produce and an additional description, if necessary. 5Under the Frequency heading select a frequency. Depending on your selection, different fields have to be filled in: ✓ Daily: The report is produced based on a certain number of days. Enter a number in the Each __ day(s) field. ✓ Weekly: The report is produced based on a number of weeks and on a day of the week. Enter a number in the Each __ week(s) field and select a day. ✓ Monthly: The report is produced on a date or a specific day of the month. Select the desired option in the Specified by, then enter a number in the Each __ month(s) field. For a specific date, enter the value which corresponds to the date. For a day of a specific week, select the week then the day. ✓ Yearly: The report is produced on a specific day and month. Enter a value in the Days field, then select the month. 6Under the Period heading, enter the start date, time as well as the end date to determine the automated production period. If you do not specify the end date, the report will be produced indefinitely or until you delete it.; After the end date, the report will no longer be produced but will remain in the Automated report production list. The user may reactivate it by modifying the end date or delete it.. If you are an application manager and your business uses the Web service: Under the Web Service User heading, select the Web service user from the scroll down menu of the User field. 7Under the Confirmation Email heading, the box Request an email notification is checked by default to ensure a confirmation email is sent each time a report is produced. The Email address field automatically shows the address entered on the user profile (authenticated user). No other address can be entered. When selecting the email confirmation option, you will receive a confirmation email for each report produced. The confirmation will include the name of the report produced. 8Click on Next to go to step 2. |

It is not possible to modify or delete a report if there is an automated production programed by another user. 1To delete an automated report, from the Automated report production list function, click on the hyperlink of the report. 2Click on Delete at the bottom of the screen. |
